Voyager Holdings II, LLC, a private equity holding company located in RIDC Park (O'Hara Township) Pittsburgh, Pennsylvania, is currently recruiting an Executive Administrative Assistant. The successful candidate will demonstrate and provide a high level of support with attention to detail, quality focus, high energy and flexibility within a dynamic team environment. This individual will need to work independently as well as in close concert with executive level staff, be able to represent that staff with professional courtesy and acumen, and deliver high quality work in support of the team’s diverse functions and activities.This full-time position offers comprehensive medical, dental, vision, life & disability insurance, paid time off, paid holidays, and a 401(k) savings plan.Essential Job Functions: Performs a broad range of professional and personal administrative support duties to ensure that the office and related work are being managed timely, efficiently, and effectivelyDrafts correspondence, summaries, and presentations and prepares associated materials for various executive level staffProcesses timely and accurate travel and other expense reportsMaintains vendor relationships, organizes, and schedules payments of bills for ChairmanGathers and organizes tax related documentsPrints, assembles, and organizes documents for executive staff membersActs as the point person with respect to various legal document requests and maintains the electronic records and/or hard copy files for various individuals and corporate entitiesProactively ensures all legal documents are reviewed, executed and filed (internally or externally) on a timely basis and maintains the required databases, both electronic and hardcopy, for those documentsOrganizes and prioritizes large volumes of informationHas a proven ability to multi-task while maintaining a professional attitudeMaintains familiarity with all policy and technology updatesPreserves the confidentiality of informationAssists with overflow, special ad-hoc projects, and day-to-day tasks on an as-needed basisQualifications: 5+ years of experience as an Executive AssistantRelated law firm or corporate work experience strongly preferredKnowledge of or experience working with Quicken accounting softwareCurrent PA Notary license strongly preferred but not requiredExceptional organizational, proofreading, written and verbal communication skills, with strong attention to detail and ability to work under strict time constraints and consistently meet assigned deadlinesHigh degree of proficiency in MS Office Suite, Outlook, Quicken, internet applications, and mobile devicesKnowledge of legal principles, legal terminology and legal research techniques preferredDetail oriented self-starter with demonstrated ability to interact and communicate appropriately and professionally with senior management and Company employees at all levelsSolid time management skills with the ability to effectively handle multiple priorities with a professional, friendly attitude in a fast-paced work environmentAble to work with minimal supervision, work well individually as well as in a team environment, easily share appropriate information, act as a problem solver and readily support colleagues as appropriateJob Type: Full-timeRequired experience:Administrative Assistant: 5 years
