About this Opportunity:


Regency Centers is seeking an Administrative Assistant for our Atlanta, Georgia regional office to provide a variety of administrative and staff support services to property operations, leasing, and other functions to ensure smooth daily operations and departmental workflow.


Key Responsibilities:




  • Provide general office support, such as handling the mail, screening and directing calls, typing, filing, copying, faxing, making travel arrangements, scheduling appointments/events, tracking expenses and filing expense reports, ordering supplies, planning and coordinating events, completing time-sheets and other forms, managing outside office vendors, serving as a liaison with office landlord and keeping the office environment organized and professional.




  • Operate personal computer and utilize a variety of software packages to prepare correspondence, presentations, reports, spreadsheets, maintain databases, etc.




  • Provide day-to-day operational support of programs, projects, and/or processes for various departments; act as liaison to IT department.




  • Perform accounting-related tasks such as preparing check requests, invoice processing, delinquent balances, lists of payables, serving as the point of contact for tenant allowance paperwork, etc.




  • Serve as the office liaison to Human Resources and corporate departments to implement corporate communications, office-wide updates to the company (e.g. regarding benefits – with HR assistance), and employee on/off-boarding.




  • Provide day-to-day operational support of programs, projects, and/or processes for the Property Operations team.




  • Assist the property management team by collecting rent, tenant sales reports, preparing default letters, lease assignments and vendor contracts, etc.




  • Scan and update construction drawings.



  • Assist with related duties and special projects on an as needed basis.


Qualifications:


Required:




  • High School diploma or equivalent




  • At least one (1) year of related administrative experience in a professional office environment




  • Intermediate level proficiency or higher with current Microsoft Office products including MS Word, Excel, Power Point and Outlook



  • Basic math skills


Preferred:




  • Associate's degree or higher in Business Administration, Real Estate, or other related field



  • Prior experience working in the commercial real estate industry
