CasterDepot is currently in search for a full time Administrative Assistant to join our team. The ideal candidate would be responsible for maintaining our office processes and provide our customers with the excellent customer service that CasterDepot strives for. We are looking for someone that is detail oriented, self-motivated and is great at multitasking. Available benefits offered with this position include: health, vision, dental and 401-k after probationary period.
Qualifications:
- 1 - 2 years of customer service or office experience
- Detail Oriented
- Strong organization skills
- Great written and verbal communication skills
- Strong computer skills, including Microsoft Word, Excel and the ability to learn other software systems
- Great multitasking and organizational skills
- Punctual
(Accounting Experience is a plus)
Daily responsibilities are as follows:
Incoming Phone Call Coordination
- Answer all incoming calls by asking the caller's name and thanking them for calling CasterDepot
- Corporate Call: Answer by the second ring
- Other sales office Call: Answer by the fourth ring
- If unable to provide a solution, then transfer the call to appropriate office or department for resolution
Customer Service Inbox
- Manage the customer service and info email inbox
- Reply to customer inquiries within 2 hours of receiving
- If unable to provide a solution then forward the email to the appropriate office for resolution within 2 hours of receiving email
- Before leaving for the day, reach out to all clients with open inquires and let them know we have not forgotten and give them a timeline for completion
Record Management
- Match up and scan all invoices within 24 hours of receiving
- Match up and scan all control copies within 48 hours of receiving
- Scan all receivers within 24 hours of receiving
- Scan all UPS / Fedex Manifests within 24 hours of receiving
- Scan all RMA Paperwork within 24 hours of receiving
Paperwork Flow Execution
- Print, add to hot board, and communicate hot orders to company within 30 min of receiving
- Print controlled paperwork
- Pick Tickets within 30 min of receiving
- Packing Slips within 30 min of receiving
- Transfers within 30 min of receiving
Additional Details
- This position reports directly to the Accounting Manager
- Work may require occasional weekend and / or evening work
- Must be willing to sign a non-compete and non-disclosure confidentiality agreement
