The primary duties of the Executive Assistant are to provide administrative support to the President/CEO, act as a liaison to the Board of Directors and executive staff, and to provide event coordination to Event Chairs and Community Committees
â¢Responsible for day-to-day operations of the President/CEO office. Serves as the primary point of contact for internal and external parties on all matters pertaining to the CEO's office. Works independently on projects, from conception to completion, and handles
a wide variety of activities and confidential matters with discretion, including employee and staff matters.
â¢Maintain the Boardroom Schedule for meetings. Prepares and disseminates meeting agenda for meetings. General clerical duties and administrative maintenance including arrangement of conference calls, preparation of materials for meetings, checking BHSC website
on a daily basis for emails to route them to appropriate staff. Takes meeting minutes as needed. Plans and coordinates CEO travel and appointments.
â¢May supervise interns, volunteers and/or development support staff, including recruitment, assignment of work and performance management.
â¢Serves as a liaison between President/CEO and the Board of Directors. Maintains discretion and confidentiality in relationships with all Board members. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board and Board committee
matters, including advance distribution of materials before meetings in electronic/paper format. Organizes annual Board of Directors meeting, attends and takes minutes and uploads Board meeting minutes to BHSC website. Prepares BHSC policies to be approved
by Board of Directors annually for their October meeting.
â¢Contribute to and edits the BHSC website. Maintains the agency's social media platforms. Coordinates all marketing efforts and serves as the liaison to external marketing supports. Maintain and edit internal message board at North Street as needed with upcoming
events, CCC series, staff birthdays, etc. Maintains credit card receipts and submits a monthly report to Finance. Enters and maintains all gifts/donations in Raiserâs Edge database and runs month end report and distributes to appropriate parties. Produces
thank you letters for all gifts received including in kind donations from the Raisers Edge Data base within 5 days of receipt of gift. Prepares donor thank you notes for President/CEO
â¢Provides support to the Professional Board. Prepares materials for quarterly professional board meetings. Attends quarterly professional board meetings as a secretary taking and publishing notes. Updates BHSC policy and procedure manual upon approval of new
policies at Professional Board meetings and subsequent October board meeting. Uploads changes into SharePoint.
-Plans, organizes and directs all of BHSC's fundraising including, the Gala, the Golf Tournament and Brewfest. Works closely with the President/CEO and the Board of Directors in all development and fund raising activities. Seeks out and meets prospective donors
and supporters to establish effective relationships. Provides liaison to Grant Writers for grant seeking, including research, proposal writing and reporting requirements. Directs the annual fund program.
â¢Proficient in Microsoft Office suite
â¢Experience in database administration and report writing; Raiserâs edge and Planned Giving experience preferred.

Minimum Degree Required: High School Diploma
