Special Events Coordinator Senior

The College of Law at West Virginia University is seeking applications for the position of Special Events Coordinator Senior. This position is primarily responsible for the overall administration, planning, coordination, implementation and assessment of a wide variety of College of Law related functions/events such as conferences, speakers, student competitions, major special events, faculty speakers/presentations, dedications, and ceremonies. This position is also responsible for supporting the ongoing development efforts for the College involving a variety of functions to insure proper cultivation, solicitation, and stewardship of the College Development programs and donors. This position is also responsible for establishing an environment conducive to cultivating and inspiring alumni and non-alumni financial generosity through the planning and implementation of alumni and donor related events, dedications, and recognitions.
In order to be successful in this position, the ideal candidate will:
Plan special ceremonial, social, and faculty/student events with emphasis on institutional advancement and/or the cultivation of good will toward the College of Law and the University.
Coordinate logistical support, menus, adequate staffing, invitations, speakers, and maintains guest and prospective guest information. Leads, guides, or assists with the work of event support workers during events.
Manage planning of COL lecture series, symposiums, student panels and presentations, Visiting Committee, and major donor dedication ceremonies and functions/events.
Assist visiting alumni, guest speakers, Bar members, and friends of the College of Law with accommodations, travel arrangements, transportation, parking. etc.
Perform duties and responsibilities related to designing, planning, and producing projects and activities in support of major special events.
Attend events to facilitate operations and respond to emergencies or problems, ensuring that all aspects of events are implemented and controlled according to plans. This involves providing on-site event coordination that includes problem-solving, decision-making and interaction with event participants.
Negotiate contracts with vendors for a variety of services related to special events planning, monitoring services to ensure contract terms are satisfied.
Reconcile expenses and invoices for functions/events to be paid in a timely manner. Develop and maintain the College of Law functions of events calendar.
Receive, process and deliver to the WVU Foundation Inc. donor deposits and maintain records of gifts in a database which requires meticulous data entry and record management.
Act as the development assistant and represents the office in meetings and functions.Work Hours: 37.5 hours per week. Some overtime and weekend work is involved with this position resulting from planning, supervising, and attending events.
Length of Assignment: 12 months
A Bachelor's Degree in a related field.
Three (3) years of experience involving:
Event management and/or conference planning, coordination of office activities and or logistics.
Managing budgetary activities, financial data, or record keeping functions.
Major gift and planned gift programs.
Working with members of the legal community is preferred.
Public relations and strong verbal, written, and interpersonal communication skills.
Knowledge of basic finance and budget principles.
Knowledge of or the ability to learn WVU and Foundation procurement rules and regulations.
Knowledge of computer programs specifically including the entire Microsoft Office Suite, Blackboard Raisers Edge and Financial Edge, AS 400.
Working knowledge of fundraising programs and techniques, including major and planned gifts programs, to specifically include grant and proposal writing.
Accounting/bookkeeping knowledge sufficient to record, report and receipt monies and the ability to reconcile weekly and monthly deposit reports.
Ability to multitask and meet a calendar of deadlines with moderate to low supervision.
