Multistakeholder Forestry Programme Phase 5 (MFP5) is part of a long-standing partnership between governments and aims to support sustainable land and resource management through inclusive, multi-stakeholder collaboration. It focuses on strengthening governance systems, improving transparency and traceability in supply chains, and enhancing the capacity of local institutions and communities. Working in close collaboration with government institutions and other stakeholders, the initiative aims to deliver positive outcomes for climate resilience, biodiversity, and local livelihoods.
This Opportunity:
The MFP5 team is seeking a Travel and Logistic Associate to provide support in procurement, travel management, logistics, and administrative functions for the MFP5 Team, ensuring that program activities are implemented in a timely, efficient, and compliant manner in line with organizational and donor policies.
Location:
The position is based in Jakarta, Indonesia, at the MFP Office in the Gedung Manggala Wanabakti Block. All applicants must have working rights in Indonesia, as sponsorship will not be provided, nor will any relocation expenses.
Reporting Lines:
The Travel and Logistic Associate will report directly to the Finance and Grant Manager, under daily supervision of the Operations Associate.
Primary Responsibilities:
Travel Support
- Coordinate domestic and international travel arrangements, including tickets, accommodation, and ground transportation.
- Prepare detailed travel request and ensure all required travel documents are in place.
- Monitor and enforce compliance with organizational travel policies and budgetary guidelines.
Logistic Support
- Provide logistical support for meetings, workshops, and field visits.
- Manage venue reservations, catering, equipment, and other technical requirements. Liaise with vendors and service providers to ensure timely and high-quality delivery of services.
Administrative Support
- Record and report travel and logistics expenditures (including attendance sheet) accurately.
- Assist in preparing event documents, including attendance lists, agendas, briefing aterials, and reports.
- Support Operations Associate in preparing calculations for transport and honoraria, ensuring accuracy and compliance with the Programme Management Manuals, and ensuring all relevant supporting documents are complete and valid before submission to the Finance team.
- Assist Operation Associate in the preparation and collection of Travel/Expense Report and other documents and support related to financial matters, including assisting in scanning receipts for settlement.
- Collect invoices and supporting documents from vendors. Support Operation Associate in preparing Payment Approval Form for those invoices and ensure relevant supporting documents are in place. Carry out other relevant tasks assigned by the Finance and Operation team.
Essential Criteria:
- University degree or diploma relevant to the role.
- 1 – 2 years of experience in travel coordination, logistic or administration.
- Ability to manage events with minimum supervision and coordinate with participant and vendors.
- Knowledge of administrative and general office practices administrative as well as planning skills.
- Service-minded, well-organized, strong negotiation and high attention to detail.
- Good written and verbal communication skills in in English and Bahasa Indonesia.
- Ability to work productively in a diverse, fast-paced environment. Proficiency in Microsoft Office and operational management
Desired Criteria:
- Experience working with donor-funded development programme (e.g., FCDO, USAID, EU, DFAT) in multi-culture stakeholders’ environment.
- Experience or familiarity with administering Government of Indonesia travel logistics. Familiarity with accounting and financial management processes
