Retainer for the Administrative Support for FACE Form Verifications

Background:

UN Women works in partnership with the United Nations, Non-Government Organizations (NGOs) and Civil Society to achieve the programme outcomes of UN Women. Currently UN Women manages 9 active Responsible Partners (RPs): 8 Non-Government Organizations (NGOs) and 1 UN Agency. For the purpose to advance the financial reporting from the RPs, UN Women seeks Administrative Support for the FACE (Funding Authorization and Certification of Expense) FormVerifications. The retainer supports the Office Operations by performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Consultant promotes a client, quality and results-oriented approach. The Consultant works in close collaboration with the programme and projects staff and the Operations team to ensure consistent service delivery.
Under the overall supervision of the Finance Associate, and direct support to Programme Associate for the programme unit, the consultant will undertake the review and verification of the supporting documents for FACE Form when necessary. This entails analyzing the authenticity and accuracy of the provided information, ensuring compliance with established policies and guidelines, and collaborating with relevant stakeholders to address any discrepancies or missing information.
Description of Responsibilities /Scope of Work
- Verified documents means that all items reported are accurate, complete, and compliant, including income, expenses, and budget allocations.
- Submission of activity report on all verification of supporting documents of FACE Form in Partner Office’s during in line with request and feedback from UN Women.
- The activity report shall include detailed findings and recommendations based on the review, highlighting areas of improvement, and suggesting corrective actions if necessary.

The consultant will be based in Jakarta.

Functional Competencies:

Education and Certification:
- A minimum of a bachelor's degree in finance, Accounting, Business Administration, or a related field is required.
Experience:
- At least 5 years of progressively responsible experience in an administrative or financial support role, particularly in verifying financial supporting documents;
- Experience with FACE form verifications is an asset;
- Experience working within an international organization or a non-governmental organization (NGO) is preferred;
- Prior experience in working with financial reporting or fund management in a UN or similar development context is an asset;
- Demonstrated experience in providing support to a team;
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Languages:
- Fluency in English is an asset
- Fluency in Bahasa is required
