Job Summary:
The Assistant Visa Specialist at Placement International supports the visa application process for candidates participating in our international programs. This role involves assisting in the preparation and submission of required documentation, coordinating with embassies, host companies, and candidates, and ensuring compliance with visa regulations. The Assistant Visa Specialist helps track application statuses, addresses routine inquiries, and provides administrative support to the Visa Specialist. Strong organizational skills, attention to detail, and effective communication are essential for ensuring a smooth and efficient process for candidates and host companies.
Requirements:
- Experience: 1-2 years of experience in customer success, visa processing, immigration services, or related fields; experience in a recruitment or placement agency setting is a plus.
- Organizational Skills: Strong organizational and multitasking abilities, with a keen eye for detail and efficiency in managing multiple applications and deadlines.
- Communication Skills: Excellent verbal and written communication skills in English; fluency in additional languages (such as Spanish or French) is advantageous.
- Technical Skills: Proficiency in MS Office applications (Word, Excel, PowerPoint). Familiarity with CRM systems or visa-related software is an advantage.
- Interpersonal Skills: Exceptional interpersonal skills to build and maintain relationships with candidates, embassies, host companies, and other stakeholders.
- Time Management: Ability to prioritize tasks, meet deadlines, and manage high volumes of work effectively, even under pressure.
- Problem-Solving Abilities: Strong analytical and problem-solving skills, with a proactive approach to addressing challenges in visa processing and compliance.
- Attention to Detail: High level of accuracy in reviewing and preparing documents to ensure compliance with immigration laws and regulations.
- Service Orientation: Dedication to providing high-quality support and ensuring a seamless experience for candidates and host companies.
- Availability: Flexibility to work with international time zones and accommodate occasional travel for meetings or events.
- Legal Requirements: Possession of legal documentation to work and reside in the country from which you are applying.
Responsibilities:
Visa Processing:
- Manage the end-to-end visa application process, including gathering necessary documents, reviewing applications for accuracy, and submitting them to the appropriate embassies or agencies.
- Ensure compliance with immigration regulations and company policies throughout the visa process.
Candidate Support:
- Assist candidates by providing detailed guidance on visa requirements, timelines, and processes.
- Communicate updates on the status of visa applications and address any inquiries or concerns promptly.
Documentation Management:
- Maintain organized records of all visa-related documentation, including contracts, application forms, and supporting materials.
- Ensure proper handling and storage of sensitive personal and legal information.
Stakeholder Coordination:
- Liaise with host companies, embassies, and other stakeholders to facilitate smooth visa processing.
- Collaborate with internal teams to ensure candidate placement aligns with visa timelines and requirements.
Problem-Solving:
- Resolve any issues related to visa applications, such as missing documentation, delays, or rejections.
- Work proactively to address potential challenges and develop solutions in collaboration with relevant stakeholders.
Compliance Monitoring:
- Stay updated on immigration laws and regulations to ensure all visa processes meet legal requirements.
- Advise internal teams and candidates on any changes in visa policies that may affect placements.
Reporting:
- Prepare and maintain reports on visa application statuses, approval rates, and processing times.
- Provide regular updates to the Visa Manager or relevant team members on program progress and areas for improvement.
Process Improvement:
- Identify opportunities to streamline the visa application process for efficiency and accuracy.
- Implement best practices to enhance the overall candidate and host company experience.
Service Orientation:
- Ensure a high-quality, professional service experience for candidates and host companies throughout the visa process.
- Foster strong relationships with stakeholders to promote trust and long-term collaboration.
