Position: Human Resources Admin & Receptionist

Location: Mas village, Ubud, Gianyar, Bali, Indonesia.

Responsibilities:

1. Talent Acquisition and Recruitment:

  • Develop and implement recruitment strategies to attract top talent for various positions within the retreat center.
  • Conduct interviews, screen candidates, and coordinate hiring processes in collaboration with department managers.
  • Manage job postings on relevant platforms and attend recruitment events to expand our talent pool.

2. Employee Relations & Guest Relations:

  • Serve as a trusted resource for employees, providing guidance on HR policies, procedures, and benefits.
  • Address employee concerns and grievances in a fair and compassionate manner, fostering a culture of open communication and mutual respect.
  • Organize employee engagement initiatives, team-building activities, and recognition programs to enhance morale and job satisfaction.
  • Greeting all guests and visitors in a professional, friendly and courteous manner.
  • Assisting with guest check ins and outs efficiently and accurately.
  • Handling guest inquiries and providing information on retreat schedules, activities, facilities, and services.
  • Ensuring the highest standards of customer service and addressing any guest concerns or complains promptly.

3. Training and Development:

  • Design and deliver training programs to support the professional growth and skill development of employees.
  • Identify training needs through performance evaluations and feedback mechanisms, tailoring programs to meet specific departmental requirements.
  • Partner with external training providers and industry experts to offer specialized workshops and certifications.

4. Performance Management:

  • Oversee performance appraisal processes, ensuring fair and objective evaluations that align with organizational goals.
  • Provide guidance to managers on setting performance expectations, coaching employees, and addressing performance issues.
  • Implement performance improvement plans and monitor progress to facilitate employee development and accountability.

5. HR Administration:

  • Maintain accurate and up-to-date employee records, including personnel files, contracts, and payroll information.
  • Manage existing contracts with employees and business partners and create new contracts for new staff, considering specifics of local Indonesian law.
  • Manage and track annual leave requests, sick days, promotions, bonuses, pay rises in collaboration with Finance department.
  • Administer employee benefits programs, including health insurance, retirement plans, and leave policies.
  • Stay informed about relevant employment laws and regulations, ensuring compliance with legal requirements.
  • Establish and manage HRIS (Human Resources Information Systems)/HR software
  • Managing the front desk, including organizing paperwork, maintaining guest records, and keeping the reception area tidy, including the shop.
  • Processing payments and providing receipts for guests.
  • Maintaining office supplies, handling incoming and outgoing mail, and managing any necessary documents.

    6. Communication and Coordination
  • Liaising with other departments such as housekeeping, maintenance, student coordinator and sales team to ensure seamless guest experience.
  • Keeping management informed about any guest issues or requests that may require additional attention.
  • Answering phone calls, emails, and handling general inquiries efficiently.

    7. Reservations and Bookings
  • Managing phone, email, and online bookings.
  • Updating reservation systems and maintaining accurate records.
  • Assisting with booking confirmations, cancellations, and changes.


**Qualifications:**

  • Bachelor's degree in Human Resources Management or related field (Master's degree preferred).
  • Proven experience in HR roles, preferably in the hospitality industry or similar service-oriented environment.
  • Strong knowledge of HR best practices, employment laws, and regulations.
  • Excellent communication, interpersonal, and conflict resolution skills.
    Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proficiency in HRIS (Human Resources Information Systems), Microsoft Office Suite and Google Gdrive including Gdoc and Google Spreadsheets.
  • Fluent in English language, written and spoken.
