Job Overview
The Claims Administrator Leader oversee trade claim admins on processing trade claims related to FFG, ensuring that all customer trade claim are handled efficiently, accurately and in compliance with company policies and standards (i.e. Sales Brief, SOP). This position involves interacting with customers, sales team, trade marketing, and finance for processing trade claim reimbursements, coordinating with internal teams, and maintaining accurate records of all claim activities.

Trade Claim Admin Leader
Job Overview
The Claims Administrator Leader oversee trade claim admins on processing trade claims related to FFG, ensuring that all customer trade claim are handled efficiently, accurately and in compliance with company policies and standards (i.e. Sales Brief, SOP). This position involves interacting with customers, sales team, trade marketing, and finance for processing trade claim reimbursements, coordinating with internal teams, and maintaining accurate records of all claim activities.
Key Responsibilities
- Claims Management:
- Coordinate with trade claim admins & customers to gather all required documentation for claims processing (e.g., proof of purchase, product images, etc.)
- Process and validate consumer claims based on supporting documents
- Review and assess the eligibility of claims based on Sales brief
- Ensure timely resolution of claims until credit notes are issued
- Customer Communication:
- Serve as the primary point of contact for customers submitting claims
- Provide timely responses to customer inquiries, explaining claim procedures, status updates, and next steps.
- Address any escalated concerns or dissatisfaction and find solutions.
- Data Entry and Record Keeping:
- Maintain accurate and up-to-date records of all claims, actions taken, and outcomes.
- Enter claim details into the company’s claims management system (PCMS)
- Collaboration and Coordination:
- Work closely with internal departments (finance and sales) to process claims effectively and ensure customer satisfaction and external with DT Claim process counterpart.
- Compliance
- Ensure all trade claim admin have work plan in achieving resolution and speeding up trade claim process
- Ensure all claims are processed in accordance with company policies and sales brief
- Monitor claims outcomes to ensure compliance with agreed-upon timelines and service level agreements (SLAs).
- Conduct periodic audits of claim files to ensure accuracy and completeness.
- Education: A bachelor’s degree in business administration or accounting is preferred.
- Experience: Prior experience in claims administration, customer service, insurance, or in a similar role within the consumer goods industry is a plus. Managing previous trade claim administration experience is a must.
- Technical Skills: Proficient in Microsoft Office (Excel, Word, Outlook); experience with claims management software is a plus.
- Communication Skills: Excellent written and verbal communication skills to interact with customers, vendors, and internal teams.
- Organizational Skills: Strong attention to detail with the ability to manage the team, as well as also handling multiple claims simultaneously and meet deadlines.
- Problem-Solving: Ability to analyse claims, assess situations, and resolve issues effectively.
